Who is responsible for your data

We determine the purposes of processing account, billing, support and service-operation data. For customer information that a business uploads or connects to RunVoya, that business generally determines the purposes and we process it on its behalf. If your information appears in another business's workspace, contact that business first; we can assist with requests relating to our service.

Information we process

• Account and workspace information: name, email, sign-in identifiers, business profile, settings, membership and permissions.
• Connected business information: authorized email content and metadata, customer records, calendar details, reviews, social interactions and other records needed for enabled features.
• Knowledge and AI interactions: uploaded files, imported sources, searchable excerpts, confirmed facts, chat messages, drafts, proposals, approvals and action outcomes.
• Billing and support: plan, allowance and usage records, invoices, payment-provider references and information you send to support. Our payment provider handles payment-card details.
• Technical and usage information: network and device information, session identifiers, interaction events, errors and security/audit records. Application analytics can associate your account identifier, name and email with usage events.

Data comes from you, workspace members, services you authorize and people who interact with your connected business accounts. Only connect data you are permitted to process.

Why we use information

We use information to authenticate users, isolate business workspaces, synchronize connected records, search business knowledge, prepare AI answers and drafts, perform authorized actions, administer billing, provide support and protect the service.

Where data-protection law requires a legal basis, we rely on performing our agreement, complying with legal obligations, legitimate interests in service security and improvement, or consent where required. Optional website analytics uses your consent. Information necessary for account access and paid features is required to provide those features.

AI processing and connected services

Relevant messages, document excerpts, business settings and conversation context may be sent to AI, search and integration providers to generate the requested answer, draft or action proposal. AI output may be inaccurate; review it before acting. We do not treat generated suggestions as your approval.

Integration access is limited by the permissions you authorize. Disconnecting an integration or revoking it at the provider stops future access, but does not automatically erase previously imported information or undo completed actions. Use available deletion controls or contact support for assistance.

RunVoya's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Google Workspace data is used for the user-facing features you request, not for advertising or to train general-purpose AI models. Human access is limited to circumstances permitted by those requirements, such as your consent, security investigation or legal obligations.

Sharing and international processing

Information is available to authorized workspace members and to recipients or destinations selected in actions you approve. Service providers process information needed for hosting, file storage, authentication, payments, integrations, AI/search, diagnostics and analytics. The application uses services including Stripe, Cloudflare, PostHog and configured AI/integration providers; enabled providers depend on the features and connections used.

We may disclose information when legally required, to protect users and the service, or in a business transfer subject to appropriate protection. We do not sell Google Workspace user data or use it for targeted advertising.

Providers may process information outside your country. Where applicable, cross-border processing requires a lawful transfer mechanism and appropriate safeguards. Contact support for information about the providers and safeguards relevant to your workspace.

Retention and deletion

Workspace content remains available for service use until it is deleted, the account is closed or an applicable retention rule removes it. Subscription cancellation alone does not delete content. We retain billing and compliance records as required by law, and security/support records for their necessary operational purposes. Application activity records are scheduled for removal after 370 days.

Deleting a source removes it from active knowledge use through the product's deletion process. Provider-held records and restricted backups may have separate retention or deletion schedules. Contact support to request account closure, deletion or an explanation of retained records; we may need to verify your authority before acting.

Your choices and rights

You can manage workspace membership and connections, correct business information and change the optional analytics choice below. Depending on applicable law, you may request access, correction, deletion, restriction or portability, object to processing, or withdraw consent. Withdrawal does not affect processing that was lawful before it.

Send requests to support@runvoya.com. We may verify identity and workspace authority. You may also complain to the data-protection authority where you live or work. If we process information for another business, we may refer the request to that business.

Security and age limits

We use access controls, business-scoped permissions and secure connections to protect information. No service can guarantee absolute security. Protect your login and promptly report suspected unauthorized access to support. RunVoya is intended for business users aged 18 or older.

Optional website and trial analytics

If you accept analytics, we load Google Analytics to understand visits, pages viewed, interactions with this website, confirmed trial starts, and an initial approved operator action in the app. Google receives website usage and technical data, such as page addresses, referral information, and browser and device information. We use this to understand which content leads to useful product activity. App events include only the public landing page, a broad acquisition channel, and the event or action category. We do not include customer messages, document content, email addresses, private app URLs, or business record identifiers in those events.

Analytics is off by default. Before you accept, or if you reject, we do not load the Google Analytics tag or send analytics measurements to Google. Advertising consent remains denied, and we disable Google signals and advertising personalization in this tag.

What this website stores

Your preference applies to this website and the measured trial journey in app.runvoya.com in this browser. Clearing browser storage or using another browser means we will ask again. If your browser prevents saving preferences, analytics stays off.

Change your mind anytime

Use Cookie settings in the footer to accept or reject analytics. The app also links to these preferences. Turning it off stops further collection, removes accessible Google Analytics cookies and the shared attribution cookie, and refreshes the page to unload the tag. Withdrawal does not automatically delete data already sent to Google.

Changes and privacy contact
